Controller and processor roles

  • For our own account administration, billing, security, support, marketing and legal compliance, MOTU, LDA acts as data controller.
  • When agencies use ImoManager to manage their own contacts, owners, buyers, tenants, partners, documents, messages or listings, the agency is normally the controller and ImoManager acts as processor under the customer contract.
  • Customers are responsible for informing their data subjects and ensuring they have an appropriate legal basis for data they upload or connect to the platform.

Information we process

  • Identification and contact details, account credentials, agency information, roles, permissions, subscription, billing and payment records.
  • Platform usage, audit logs, device, browser, IP address, security, diagnostic and performance data.
  • Content provided by customers, such as leads, contacts, property records, notes, tasks, appointments, communications, files, contracts, media and data received through enabled integrations.

Purposes and legal bases

  • We use data to provide the service, authenticate users, operate accounts, process subscriptions, deliver support, maintain security and fulfil contracts.
  • We may use data to improve the platform, measure performance, prevent fraud, enforce terms, comply with legal obligations and defend our rights and legitimate interests.
  • We send service, security and product communications; optional marketing or analytics activities rely on consent where required.

Integrations, sharing and subprocessors

  • We share data only where needed with trusted providers for hosting, infrastructure, payments, analytics, communications, support, security, storage and other services selected or enabled by customers.
  • When integrations such as property portals, websites, email, calendars, messaging services, social platforms, payment tools or storage providers are enabled, data may be exchanged according to the permissions and settings chosen.
  • We may disclose data where required by law, regulation, court order or competent authority request.

Retention and security

  • We keep personal data only for as long as needed for the relevant purpose, contract, legal obligation, dispute, security requirement or customer instruction.
  • We use access controls, encryption where appropriate, monitoring, backups, audit logs and operational safeguards to protect the platform.
  • No online service can guarantee absolute security, so customers should use strong credentials, appropriate permissions and careful data-minimisation practices.

Cookies, transfers and updates

  • We use necessary cookies and similar technologies to run the site and, with consent where required, analytics or marketing tools to understand performance and campaigns.
  • Data may be processed in Portugal, the European Economic Area or other countries by providers that support the service, using appropriate safeguards for international transfers where required.
